STEP 1: Introductions and Process Overview
- Introductions and Project Understanding - We spend time with you to understand the details of your project, including your needs around project budget, timeline, leases, and any other constraints.
- Project Team Selection - We engage the abilities of our entire team, as well as consultants across a broad market to ensure we are selecting the right partners for your needs.
- Orientation and Process Overview - We spend time with you to orient you to our service profile and review the process of your project and what to expect with our team.
- Site Review - Our team will review the condition of your existing site, including researching your existing utilities, infrastructure, and structural conditions to ensure the most efficient uses of your space.
STEP 2: Project Design
- Design Development - We work with your design and architectural teams to make sure the development of your project is captured and delivered in a way that's understood by the experts performing the work.
- Initial Budget and Schedule Development - We prepare initial concept budgets and timeline expectations based on the initial ‘Schematic Design’ or ‘Design Development’ architectural sets with the understanding that budgets and schedules will be updated as your design evolves.
- Constructability Support - Our team provides input and support throughout the design process, as needed, to ensure your design meets your budget targets and also that your project is constructible in an efficient way.
STEP 3: Preconstruction
- Team Meeting - We start the preconstruction process by meeting with you to understand any specific needs and priorities for your project.
- Develop Preconstruction Strategy - We develop a specific strategy based on the unique requirements of your project and your specific goals and priorities.
- Support Final Development of Design / Finishes / Details - We continue to support the final phases of design, including support in the iterations of finishes and all other procurement and infrastructure items.
- Budget Development - We begin budget development with an initial concept, tracking updates and revisions during pre-construction to assess the cost impact of design changes. After initial budgets are approved through design development, we take your project to the open market for a competitive, market-based construction cost estimate.
- Budget Presentation and Confirmations – With an understanding of every aspect of your project, we prepare a project budget and review it with you line-by-line to ensure we are understanding the details correctly and making accurate assumptions. We stand behind budgets that would support a 'Stipulated Sum' agreement, if desired, or we also support Cost-Plus and Guaranteed Maximum Price contracts.
- Procurement Planning: Research Lead Times, Procurement Requirements, Integrate into CPM Schedule - Properly planning for long-lead materials ensures we meet schedule commitments during construction. We engage with material/system providers to understand lead times, then assemble a procurement plan to prevent unnecessary schedule delays.
- Preparation of the Project Schedule - The construction schedule is crucial for keeping your project on track. It ensures tasks are well-planned, correctly sequenced, and compliant with Quality Control requirements. We develop the schedule based on a detailed understanding of your project's systems infrastructure, design and finish details, and structural elements.
- Trade Partner Interviews / Selections - Selecting the right project team with specific expertise is critical for success. We engage top-quality partners by interviewing key candidates and visiting their facilities to assess their capabilities and capacity. You are welcome to join these efforts.
- Continued Revisions of Budgets / Schedules / Project Details - As construction nears, we ensure your design aligns with your budget by updating the project budget with each drawing revision. We maintain a Budget Control Log to track changes and potential changes as the design evolves.
- Weekly OAC Meetings - We host weekly OAC meetings during preconstruction with detailed agendas to address all project needs and anticipate challenges. We keep detailed minutes and ensure our consultants' activities are coordinated and accountable.
- Final Project Contracting - We support Cost-Plus, Stipulated Sum, and Guaranteed-Maximum-Price delivery methods. We prefer the AIA Contract Standard in the A104 or A101-2-3/201 forms because they hold us to a very high standard while protecting your interests.
STEP 4: Course of Construction
- Prior to Mobilizing - Before we start construction, we meet with you to understand your specific needs and priorities with regard to the site and the construction process.
- Job Mobilization - Safety, Cleanliness, Protection, Logistics Planning, Wayfinding/Signage -Upon mobilization, we protect your site by installing erosion control (as needed), site access controls, site protection, and ensuring that our safety program is fully implemented. We plan access routes, logistics, and ensure easy site navigation for all partners.
- Reporting - Daily Recap / Weekly Progress Report - You receive daily progress reports and pictures through our Procore portal and email, and Weekly Recaps to your inbox, if requested.
- Weekly Owner-and-Contractor Meetings - You will meet with our project team weekly to review project progress, any outstanding needs from the team, schedule updates, open design decisions, and any other pertinent matters.
- Ordering Materials and Finish Items - We handle material and fixture procurement and staging. If needed, we store materials in our warehouse to ensure they’re ready for each construction phase.
- Quality Assurance - Our commitment to quality involves the entire team, including leadership. We keep our bold promises with daily, weekly, and monthly Quality Assurance checkpoints throughout your project.
- Document Control - We utilize the Procore project management software suite as the communications hub for all of our projects. The portal provides access to all aspects of your project.
- Jobsite Support - A clean jobsite is both productive and safe. We pride ourselves on maintaining a tidy site, which enhances productivity and build quality. We also uphold top safety standards with dedicated personnel managing a strict safety program.
- Trade Partnerships and Subcontracting - We prioritize creating a great workplace, building reliable schedules, ensuring safe and clean job sites, and valuing relationships. This approach attracts top talent and results in better, faster, and often more cost-effective projects.
- Pay Applications - Every month, you will receive a Pay Application for the work completed that month. You receive a complete accounting of the basis for the draw amount, and substantiation of and Change Orders billed in that month.
- Punch List - We pre-punch our projects throughout construction to ensure our punch list is limited and have a goal of completing the punch list within 2 weeks.
STEP 5: Closeout
- Closeout Information: As-Builts, Systems Manuals, Contact Info, Project Progress Photos - We provide you with a complete record of your project so you can easily get to know your space.
- Orientation and Walkthrough - We spend time with you to walk through your new space, showing you everything from thermostats to shutoffs to make sure that you know your new space inside and out.
- Warranty Begins - Avara offers a standard 1-year warranty. If you ever need it, Warranty requests are easily submitted through our Procore portal, where you can track status.
- Introduction to Service Team - Our service team is actively available for your needs. Call us anytime and we'll be sure your needs are met.
STEP 6: Follow-up and Staying in Touch
- Follow Up - After completing the work, we schedule a follow-up meeting to gather your feedback. These sessions help us understand your needs and improve our service.
- Staying in Touch - We’ve built great friendships throughout our years of construction. We love creating the opportunity to stay in touch after the project is completed - if you want us to!
